This month, we reviewed some of the topics from December’s meeting with regard to Word’s format characteristics, envelope custom design, and the envelope wizard. As before, I recommended that paragraph marks be displayed during the creation of a document, because it contains the font and paragraph characteristics of the text within the paragraph. To display the formatting characteristics of the paragraph mark within the document, press Shift-F1 or click on Help and “What’s This?” The mouse pointer adds a question mark. Point to the paragraph mark or any text within the paragraph, and click. An information box is displayed giving the details of the font and paragraph styles. Click on any other text and watch the information box change. Press the escape key to remove the information box.Word 2000 Help has a document that is an aid to what formatting is applied when you copy text between documents. This table is not available in Word 97 Help, but is now posted at the SIG sight at www.mydocsonline.com. Come to the meeting for the user Id and password.
We quickly reviewed custom envelope design and the Word Envelope wizard. This month, however, we added a Postal Bar Code to the custom envelope. This task involves two basic steps. The first is to define a bookmark name for the entire address. The second is to insert a bar code field under the last line of the address including the last paragraph mark. To define a bookmark, select and highlight the lines of the address. From the main menu choose Insert/ Bookmark. Enter a Bookmark name, “Address,” in the dialog box and click the Add button. Move the insertion point to the position on the envelope where you want to place the Bar Code. Choose Insert | Field. Find and click on “Bar Code” in the Field names list in the right hand column. Click the Options button. In the text box after the word BARCODE, type “ \u address \b”. Click OK and OK.
In response to a question, we tried inserting a graphic into the Return Address of the Envelope Wizard without success. A member of the group said he would bring a procedure from home to demonstrate next month. Also, next month, we will add an Attention box to the lower left corner of the envelope.
In our discussion of Word 97 and Word 2000, we are examining the two versions, menu for menu. For Example, with both versions of Word sitting side by side and each having its own window, we noted the differences in the File pull-down window. The first difference of note is that the Word 2000 menu expands, either when clicking on the down arrow at the bottom of the menu, or waiting for the menu to expand by itself. The expanded menu shows those commands that have not been used. This function is controlled under the Options tab of Tools | Customize. In addition, the expanded menu will show that Word 2000 has several Web based commands like Save as Web Page and Web Page Preview.
There is no change to the Edit menu. We will continue with examining the new Toolbars in Word 2000 next Month.
Questions to be answered next month.
• Automatic transmission of given e-mails on a timely basis.
• Adding an ATTN: bloc to an envelope.
• Adding a Logo to the Return Address of the Envelope Wizard.
• PO. Barcode requirements.
